The light health and safety form is designed to be a quick, easy way for users to log health and safety events.
Set which types of HSE categories are visible on the Light Health and Safety form.
On the light health and safety form, you can customise which incident/observation types you want to be included. eg: some companies may only want positive observations or near misses to be included in the quick form, because they have a different process for logging incidents. If you want all event types to be included, make sure the checkbox for all HSE categories is selected, as per the instructions below.
Go to System Settings
Select the Health Safety Form Settings menu
Go to the Categories tab
Use the right arrow to show the details for the category
If you want to include the category type on the form, click the checkbox under "Show for Light Users"
Note: only the categories that have been set to "show for light users" will be available on the light version of the form.
2. Set which fields are visible in the light form
It is possible to customise the form to reduce the number of fields on the form so that it is much quicker to fill in that the usual health and safety form.
To customise the fields that are visible on the form:
Go to System Settings
Health Safety Form Settings menu
Go to the Manage Required Fields by Category tab
Select an HSE Category from the dropdown list
Select show settings for Quick Form (Light Users)
You will be able to go through the form and set which fields are visible to users in the form. Most fields can be hidden, with the exception of the Event Name and Date Reported.
6. Don't forget to click Save!
Who can view the Light Health and Safety form?
Any users who have been set up as "Light" users (System Settings, Companies, Edit Person). See instructions here. "Light" users will only see the HSE categories that are visible to them (this is set in System Settings, Health Safety Form Settings, Categories, "Show for Light Users"). Users will be able to log events on all projects.
Anyone who has access to view the portfolio dashboard, because there is a link to the light/quick form from the portfolio dashboard. Normal permissions apply, ie, a user can use this form to log events if they have the permission to do so, on projects they have the permission to view.
Note: if someone can see the portfolio view, they can log an event using the light form (from the portfolio dashboard) or they can log an event using the regular form from the Health and Safety Events dashboard. The light form is likely to be customised so that it is shorter. The regular will include all required and optional fields for that type of HSE category.
