Set up project directory (external contacts) and logins for Acuite users

The final step in setting up your licence is to add the directory of companies and people.  

Project Directory - adding companies and people

First you'll need to add external companies and people.  Companies & people can be assigned to defects, non-compliant items in audits/checklists or in HSE events.  If they have been assigned, they will be emailed a copy of the report (or the sections that relate to them).  They don't have to be able to log into Acuite.  

To add a company, go to the System Settings > Companies menu and click +Add New Company. 

Then you will add the people within the company by expanding the company name (click on the arrow next to the company name) and clicking + Add Person.

This will add them to the licence.  You will then need to add the companies and people to each project.  See detail here.  If you add companies and people to a project (Project Settings > Companies), they'll be copied to the licence level, and will be able to be copied to other projects.

To add Acuite users, you'll follow a similar process, but with a few extra steps.  First, I'll explain how the user permission groups work. 

Permissions:
We have set up a standard set of user permission groups to get you started.  You can review these in the System Settings > Permissions menu.

You can click on each of these permission groups and see the detail of what a person will be able to see/do if they have been given that permission group.

They can be amended by clicking on Allow/Deny next to each action.  

Note:  these permissions control what Acuite users will be able to see/do.  

Setting up Acuite Users

Companies and people are set up in Acuite by being added to the Companies list, as we did above (setting up companies and people).  


Your company name should already have been added into Acuite.   Go to System Settings > Companies and you will see your company name.  Click on the right arrow to expand the company name.  Click +Add Person.  

Add in the person's First Name, Last Name, Email Address and a Role (which is their permission group).  Click the Invite to Acuite box and Save.  This will send them an email, prompting them to set a password and log into Acuite.  See here for more information.

Copy People into Projects:  You can then go into each project that person will be working on and add them to the project directory.  To do this, go to Project Settings > Companies.  Find the company name and click on the right arrow to expand to see the people.  Then click + Add Existing Person and select the person from the list.

User Permission to Access Projects

Users usually get access to a project by being copied to the project directory (as above).  

You can also give users permission to see all projects explicitly, they may be able to see all projects without having to be copied to the project directory. This is done in System Settings > Permissions.  If "Allow" has been selected for that permission group, users who have been given that permission will be able to see all projects.
