Adding Companies to a Project Manually

Adding sub-contractors and consultants directly into Acuite (not via an integration)

In order to assign a defect or a health and safety incident or a defect to a consultant, sub-contractor or client, you will need to add that company to the project.  

You can add the company and person in Project Settings > Companies or System Settings > Companies.

NOTE: these instructions apply when adding companies directly into Acuite.  Click here for instructions on adding companies via an integration.

  1. Click on the project name.  Go to the  Project Settings, Companies menu.  

Note: this will add that company (and contact person) to that project, but also copies them to the licence level so they can be used on other projects in future.


2.  First, check if they are already saved in the licence (company) level, and can be added to the project.

  • Click + Add Existing Company

  • Search for the company in the search box.  If they exist, select the company name, press OK and they will be added to the project.

3.  If they don't exist, you'll have to add the company.

  • Click Add New Company

  • Add company details:

** Note:  you may not have set up any trades yet.  These are set up in the system settings menu, Trades.

  • Then select the company name and click on the arrow on the right hand side.

  • If the person has already been added, you'll see an Add Existing Person button, so just click that to copy the person to the list.

  • If it's someone who hasn't been added before, click Add Person to add any people to the sub-contractor / consultant company:

  • Enter the person's details, including name, email address and company. 

  • Press Save.

Will the person be an Acuite user?  ie - will they be required to log in and run audits or log defects?  If so - you can set the up with user permissions and send out a password email.     (External and internal people are set up the same way in Acuite, but if the person is going to be an Acuite user, you need to:

  • add their permission group (under Roles) 

  • Click the Invite to Acuite (send password email box).
