How to review a submitted competency

Once someone has added competencies for themselves or others within their company, the licensing company will be notified. An email will be sent to all individuals within the licensing company who have the "Can assign and review company Competency Requirements" permission.

The person from the licensing company can access the project settings to immediately view the status of each company involved in the project.

The statuses are as follows:

  • Reviewed & Approved (green checkmark)

  • Reviewed & Rejected (red cross)

  • No checkmark (grey), indicating that it has not yet been reviewed

The person from the licensing company will then need to review the uploaded competency details.

  1. At the licence level, click System Settings

  2. Click Companies

  3. Click Manage Competency next to the desired company

  4. Click Review for Approval


  5. You can see which competencies have been uploaded (black dot icon) and which have not (- icon)

  6. Click either "Reject" or "Approve" to finalize your review of the competency details. In this example, we will click 'Approve'

  7. The company will see a green 'Manage Competencies' box when they log in.

This indicates that one or more of the uploaded competencies have been approved, though some competencies may still be pending.

Once a company’s competencies are approved (whether at the license level or for a specific project), they remain approved for all projects unless qualifications expire or competency requirements for the company change.

Download a competency report

  1. At the licence level, click System Settings

  2. Click Companies

  3. Click Manage Competency next to the desired company

  4. Click Download Competency Report


  5. This provides a summary of competencies for all individuals in the company

Notifications

Emails will be sent in the following situations:

  • Qualification Expired

    • The person whose qualification has expired

    • Office admins from the person's company

    • Competency reviewers (licensed company personnel with permission to manage competencies)

  • Competency Requirements Updated

    • Office admins (or all company members if no office admin is designated)

  • Competency Details Updated

    • Competency reviewers

Notes:
Only licensees with permission to review competencies will receive notifications about updated competency details.

  • The following individuals are automatically subscribed to competency notifications:

    • Anyone who assigns competency requirements (to trades/companies at the license or project level)

    • Anyone who updates a company’s competency approval status

    • Individuals whose competency details are being submitted

    • People designated as Office Admin

    • Other licensees with permission to review company competencies can opt in to receive competency notifications through their account profile or the company settings list.

  • If no Office Admin is selected:

    • Notifications are sent to everyone in the company at the license level.

    • Notifications are sent to everyone involved in the project at the project level.

All recipients of competency notifications may unsubscribe from any or all notification topics.
