Use the Activity Tracker to receive notifications on planned activities

What is the Acuite Activity Tracker?

The Acuite Activity Tracker tool enables you to add tasks and items to your project, assign them to team members, and send notifications.

This allows you to keep track of important actions and assignments without needing to remember to send follow-up emails. When you assign a task, you can choose to send alerts at various times throughout the task's duration.

To access the Acuite Activity Tracker page, go to the project dashboard, click on Time in the left-hand menu, and select Activity Tracker.

Note: For some customers, the Acuite Activity Tracker page may be synced with an external system to import tasks like project deliverables.

How to set up a New Activity?

To set up a new task, click the "New Activity" button in the top right corner.

Enter the details into the following fields:

  • Activity Name

  • Start Date

  • Due Date

To associate the activity with a critical task from the project plan, select it from the dropdown list. Once finished, click "Save activity".

In the following example, the new activity "Prepare and submit building consent," will now appear in both the Activity Chart and the Activity List at the bottom of the page.

How to set up email reminder notitications?

Hover over the gray bar on the activity chart to see a summary of the activity details. Click the blue "View Activity Tracker" button to set up notifications.

To set up reminder emails, choose the frequency for sending alerts (see red box below). You can schedule reminders to be sent when the activity reaches 50% of its planned duration, at 75% of the task's duration, and when it is overdue. Additionally, you can choose to send an email reminder daily, weekly, or fortnightly when a task is overdue.

You can also set up a custom notification to send an email on a specific day.

Next, click "Select who to notify" to display a list of users assigned to the project.

You can select multiple people from the list.

When you’re finished, click the Save Tracker button.

You can also add comments by clicking on the Comments tab. Remember to click the Save comment upom completion.

Email alerts will be sent out at 5am on the specified day.

Once the task is completed, return to the task, enter the completion date, and click "Save activity".

The task will no longer appear on the activity chart (since it is filtered to show only in-progress tasks). However, you can see it listed as "Completed" in the Activity List.
