Health and Safety Audits and Quality Checklists

In Acuite, you can run health and safety or quality audits/checklists on your site.   You can run them directly in Acuite or we can integrate with another system such as Procore or iAuditor and load them from there.

Audit templates (such as Site Safety Checklists or Weekly Health and Safety Checks) can be set up for the company level and copied to each project.  For instructions on how to set up templates, click here.  

To carry out an audit:

  1. On the project dashboard click on the left hand menu.  

Click HSE > Audits
or Quality > Audits 

depending on the type of audit you want to carry out.

2. At the top of the page select "Create Audit".

3. Choose the audit you wish to perform from the options in the drop down list.

4. Click "Start".

5. The audit questions will load in a new form. Begin answering the audit questions by selecting Yes/Compliant, No/Non-compliant or N/A for each of the questions. If you select "Yes" or "Compliant" for the question, continue onto the next question.

6. If you selected "No" or Non-compliant for the question, you will see a slider appear under the question. This allows you to choose the percentage of non-compliance, in increments of 10%. eg, if the hazard board needs a minor update you might choose 90%. This percentage is used to calculate the overall percentage compliance of the audit.

7. You can select a priority to resolve (low/medium/high).

8. Type in any information into the text box.

9. You can add a photo to show some detail of the non-compliant item. Some people also use this to show what compliance looks like.

10. If there is a sub-contractor involved, click on the "Add Subcontractors" box.

11. Choose a sub-contractor from the list. Once the audit has been completed and locked, a report will be sent out to the sub-contractor that has been selected. This will include details of the question(s) that have been marked as non-compliant and assigned to that sub-contractor.

12. You will notice a "View History" button on the bottom right hand side of each question. This will show you the history of this question over ALL audits that have been completed on the project.

13. You can make a whole section not applicable if not required (eg, crane section) by going to the section heading and clicking the "N/A" box. This will make all of the questions in the section N/A.

14. You can expand and contract sections by clicking the blue Hide Section on the right hand side of the section name. This allows you to 'wrap up' all of the sections to move easily around the audit. Click on the View Section button to re-expand the section.

15. If you need to close the audit before it has been completed click on "Close" to go back the the HSE audit page. The audit is auto saved every few minutes.

16. If you have finished the audit, click on "Save and Lock". An audit can only be locked once all questions are answered. This will set the original compliance score of the audit.

17. To return to an incomplete audit, go back to the Audits page. Scroll down the page to "Audits". From here you can click on the audit you want to complete. This audit that you just started will appear at the top of the list (without a padlock next to it). A locked audit shows the padlock icon. Click on the name of the audit that you want to complete.

18. From within an open audit you can filter questions from the drop down box in the top right hand corner. Selecting "Incomplete" allows you to easily find the questions which have not been answered in order to lock the audit.

19. Once you have gone through and entered responses to the rest of the questions, you will be able to save and lock the audit.

20. On the Audits dashboard there is a section showing your "Latest Compliance Rate" and "Current Compliance Rate" for this project. The "Original Compliance" is the percentage of compliant questions answered when the audit was completed and locked. The "Current Compliance Rate" is the percentage of questions the are still non-complaint, as non-compliant questions get answered the "Current Compliance Rate" increases.

21. You can see a summary of open questions on the audit dashboard by scrolling down to the Open Questions section. This shows ALL of the non-compliant questions that are outstanding on all audits that have been completed. ie, questions that have been marked as non-compliant and have not been resolved. This shows you areas of non-compliance that have not been actioned (or marked as completed).

If you click on the question ("First aid kit on site and full"), it will take you to that question in the audit and you can add some comments and "resolve" or close out the issue.
