How to give sub-contractors access to HSE and Quality Audit Templates

It can be useful to allow sub-contractors to do audits on your projects in Acuite, including health and safety checks and quality control inspections.

When sub-contractors are set up with the default sub-contractor permission group in Acuite, they will be able to:

  • Carry out Health and Safety and Quality audits

  • Update/resolve any audit questions/actions that are assigned to them.

If set up with the appropriate permissions, they can also

  • Update/resolve defects

  • Add Health and Safety Incidents

A sub-contractor can be assigned to an audit question / action without having an Acuite login.  For more information, click here.

STEPS FOR SUB-CONTRACTORS TO CARRY OUT AUDITS:

1. Set up an Acuite login for the sub-contractor.

For instructions on how to do that, click here.  A system administrator in your company can do this.  For more detail on what sub-contractors can see in Acuite, click here.

2. Give the sub-contractor access to the audit templates in Acuite.

The sub-contractor will need to be set up with access to each of the audit templates at the project level.  This can be done by anyone with access to the project settings menu.  

NOTE:  This is done at a project level, not at a company level.

  • Go to the project and click on the Project Settings menu on the left hand side.  

  • Select Audit Templates from the menu.

  • Go to the audit that you want to share with the sub-contractor.  Click on the More Actions button on the right hand side of the audit.

  • Click on "Give Companies Access to Audit".

  • Select the sub-contractor name (you can filter the list by typing the name into the text box).  Then click OK.

When the sub-contractor logs in, they will be able to see the Health and Safety and Quality audits dashboards (if they have been set up with the default Sub-contractor permission group).

This is the view that the sub-contractor will see when they log in:

  • NOTE:  they may also be able to see Quality Defects dashboard and Health and Safety Incidents dashboard if they have been set up with these permissions. 

  • If they click the "Create Audit" button, they will see a list of audits they have been given access to to.  


Once the sub-contractor has completed an audit, the Audits Created box will show the number of audits that they completed.

If you scroll down the page to the list of audits, the sub-contractor will see the audits that he/she created, and also, any questions that have been assigned to them.  eg:  If the main contractor completed an audit and assigned the sub-contractor to the audit, that audit will appear in the sub-contractor's list of audits.  

If the sub-contractor opens the audit that was completed by the main contractor, they will see only the question assigned to them, not the whole audit.

NOTE:

  • Sub-contractors will only see locked audits on their dashboard (when audit questions are assigned to them by someone else).  When the main contractor completes an audit and assigns an action / non-compliant question to a sub-contractor, the question will only be emailed to the sub-contractor when the audit is locked.

  • Sub-contractors won't be able to delete audits that were created by other companies.

  • Sub-contractors won't be able to see the question history on an audit not created by them.
